How to TDC First Onboarding Steps

This guide covers the First Onboarding Call. Whether you split the onboarding into multiple sessions or do it all at once, these are the foundational steps to set up the account, configure domains, and initiate the integration with JaneApp.

1. Business Profile Setup

Start by filling out the basic business information in the settings.

  • Legal Business Name & Physical Address: Must match their legal documents (crucial for A2P verification later).
  • Authorized Representative: The name of the person we should contact for verification issues.
  • EIN / CCN: Tax ID number (US or Canadian).
  • Logo & Website: Upload their branding.

2. Domain Configuration

We typically configure three subdomains to handle the tech stack. Use Whois  to identify their Name Servers (DNS provider).

  • Branded Domain (White Label):
    • Standard format: my.[clientdomain].com

      Sending Domain (API/Funnel):

    • Standard format: go.[clientdomain].com

      Email Service Domain:

    • Standard format: reply.[clientdomain].com

⚠️ The Wix Limitation If the client's Name Servers are Wix, you cannot set up a dedicated email domain (MX records) easily because Wix does not support MX records on subdomains.

  • Action: You can set up the my.  and go.  subdomains, but be aware of the email limitation.

3. Phone Number & Compliance

We do not port their main number on the first call. We start with a temporary number to handle the verification process.

  1. Get a Temporary Number: Select a local number to serve as a placeholder.
  2. Verify Identity: The client will likely need to scan their Driver's License and perform a Face Scan during this step.

    Initiate A2P Registration: Submit their profile for A2P 10DLC approval.

    • Note: This number is not ready to use immediately. It must pass A2P approval first.

4. Integrations

Connect the client's social and search profiles to enable the "Conversation" features.

  • Google My Business (GMB): Essential for reviews.
  • Facebook & Instagram: Connect these for social messaging.

5. JaneApp Integration (ClinicSync)

This is the most critical step. We need to connect their JaneApp data to TrustDrivenCare.

Step A: Create the "Integrator" Staff Member Do not ask for the client's personal password. You must create a dedicated staff member inside Jane for this integration.

Step B: The Sync Process Once the staff member is created, click the "Sign in with Jane" button to authenticate (similar to "Sign in with Google").

Step C: managing Expectations

  • On the Call: The system will sync approximately 1 year of data immediately.
  • Overnight: The system will perform a "Full Sync," pulling historically backlogged data (up to 5+ years) and creating all patient contact records.
  • Script: "You won't see all your patients right this second. The deep sync happens tonight, so by tomorrow morning, your entire patient database will be populated."

6. Training & Next Steps

Before ending the call, prepare them for the journey ahead.

  • Promote "Mastering Essentials": Encourage them to join the live calls hosted 3x a week by Dwayne.
    • Why: Dwayne is a clinic owner who uses TDC. These are peer-to-peer strategy calls, not just tech support.

      The Roadmap:

    1. Today: Setup & Verification.
    2. Wait: A2P Approval (Processing time varies).
    3. Call 2 (The "Middle" Call): Phone Number Porting (handled by the porting team/Ella).
    4. Call 3 (Last Steps): Turning on the Automations once the real number is active.
