JaneApp™ Onboarding & ClinicSync – How Initial Sync Works

This article outlines exactly what happens after a client connects their Jane account during onboarding, including queue behavior, sync timing, and what Support should communicate to clients.


Overview

When a client connects their Jane account during onboarding:

  1. ClinicSync is turned on
  2. The client is added to a queue
  3. Initial data sync is scheduled to begin the following day at 1:00 AM EST

We sync:

  • ✅ All patients
  • ✅ Three (3) weeks of appointments

This is not a real-time process.


Timeline Breakdown

Client Connects Jane

  • Client completes Jane connection during onboarding.
  • ClinicSync is activated.
  • Client is added to the queue.
  • No full patient sync occurs immediately.

1:00 AM EST

At 1:00 AM EST the following day, the queue begins processing accounts.

Important:

  • Accounts are processed one at a time
  • We do not run the queue in parallel yet
  • The system completes one account fully before moving to the next

What Happens During Processing

When the client’s turn in the queue begins:

  1. Remaining data is downloaded from Jane
  2. Patient list is synced into TDC
  3. Three weeks of appointments are synced
  4. ClinicSync setup is finalized

Because accounts are processed sequentially and data volume varies by clinic, completion time can differ.


Key Points for Support

There is no guaranteed completion time.

Although processing begins at 1:00 AM EST, completion can occur:

  • Shortly after 1:00 AM
  • Mid-morning
  • Later in the day

It depends on:

  • Their position in the queue
  • Size of their patient and appointment database
  • Processing duration of accounts ahead of them
